Grounds for data collection 

This Notice does not form part of any agreement or contract and may be updated at any time.
When you apply for a product or service on the GlassHouse website, you will be asked for personal information that is needed to process your application. We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • To decide whether we wish to engage in any form of business with you
  • To enable us to provide you with a quotation
  • To enable us to perform the contract we have entered into with you
  • To enable us to fulfil our warranty obligations
  • Where it is necessary for our legitimate interests or those of a third party and your interests and fundamental rights do not override those interests
  • To fulfil our obligations to HMRC
  • To comply with relevant legal and regulatory requirements
  • To issue news letters and marketing material to you about the products and services we offer
  • Before and after images of your property may be used in marketing material and to demonstrate our fulfilment of regulatory requirements to our regulatory body or a Local Authority Building Control Office.
  • To enable us to occasionally contact you for market research purposes
  • To allow our staff to follow up enquiries made by you to us, either by email, telephone, text, or mail. 



When you contact us

Whether by email or via our contact form, when you contact us we will receive any information that you provide to us, which we will use for the sole purpose of dealing with your query, and will keep for only the duration of 12 months. If you opt in to hear news from us, we will add you to our mailing list and you will be kept on the list until you unsubscribe, which you can do at any time. The data you provide will be kept safely in our Ionos-hosted email box (see a link to Ionos' privacy policy below).



When you engage in the ordering process with us

Those who want to engage in transactions with GlassHouse Design and Glazing are asked to provide additional information, including as necessary the personal and financial information required to process those transactions. In every case, GlassHouse collects such information only insofar as is necessary or appropriate to fulfil the purpose of the visitor's interaction with GlassHouse. GlassHouse does not disclose personally-identifying information other than as described below, and customers can always refuse to supply personally-identifying information, with the caveat that it may prevent them from engaging in certain website-related activities.

GlassHouse discloses potentially personally-identifying information only to those of its employees, contractors and affiliated organisations that (i) need to know that information in order to process it on GlassHouse's behalf, or to provide services available at GlassHouse's website, and (ii) that have agreed not to disclose it to others. Some of those employees, contractors and affiliated organisations may be located outside of your home country; by using GlassHouse's websites, you consent to the transfer of such information to them. GlassHouse will not rent or sell potentially personally-identifying information to anyone. Other than to its employees, contractors and affiliated organisations, as described above, GlassHouse discloses potentially personally-identifying information only in response to a subpoena, court order or other governmental request, or when GlassHouse believes in good faith that disclosure is reasonably necessary to protect the property or rights of GlassHouse, third parties or the public at large. If you send us a request (for example via email or via one of our feedback mechanisms), we reserve the right to publish it in order to help us clarify or respond to your request or to help us support other users. GlassHouse takes all measures reasonably necessary to protect against the unauthorised access, use, alteration or destruction of potentially personally-identifying and personally-identifying information.

We may have to disclose information if we have good reason to believe that disclosure of such information is helpful or reasonably necessary to: (i) comply with any applicable law, regulation, legal process or governmental request; (ii) enforce our policies (including our Agreement), including investigations of potential violations thereof; (iii) investigate, detect, prevent or take action regarding illegal activities or other wrongdoing, suspected fraud or security issues; (iv) to establish or exercise our rights to defend against legal claims; (v) prevent harm to the rights, property or safety of us, our users, yourself or any third party; or (vi) for the purpose of collaborating with law enforcement agencies and/or in case we find it necessary in order to enforce intellectual property or other legal rights.

If you visit our premises CCTV footage of you will be captured as we use this to ensure the security of our staff and visitors, and to maintain the physical security of our property. We record most incoming and outgoing calls and collect calling line identification data for training, security and monitoring purposes. We do not record credit/debit card details.



Sensitive Personal Data

There may be instances where it is necessary for you to share information with us containing special categories of personal information (‘sensitive personal data’). This relates to things such as details of medical conditions which you may need to share with us so we are able to meet your specific requirements when providing our goods and services. Due to the sensitive nature of this information, we will only take it from you if you have given us your explicit consent and it is necessary for us to do so. We will inform you of what we will do with this information and who we will share it with.



Security of your data

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know.
We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.



How we decide how long to retain your data

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal or contractual requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and any applicable legal or contractual requirements.
We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.



Internal record keeping

We may use the information to improve our products and services. Our representatives will follow up your specific request, either by e-mail, phone or mail, as part of our customer care procedures.
We may periodically send targeted and relevant promotional information about products you have specifically enquired about (and therefore demonstrated an intent to purchase) from GlassHouse. This may include special offers or other information which we think may help you to achieve your home improvement objectives, using the contact details you provided by requesting information from us.
You have the right to request that no further marketing information is sent to you, and we will always provide a clear option to do this on every communication.



For your protection we will also

Not hold more information about you than is required for the purposes for which it is being processed.
Your information will not be held for longer than two years if you have enquired only (and not purchased from GlassHouse).
If you are a customer who has made a purchase from GlassHouse, we are required as a minimum to hold your customer data for the lifetime of the warranty on your purchase (up to 25 years) and unless you request for your information to be removed, we will continue to hold your data on our system for up to 40 years. This is because the data we hold will be relevant should you wish to update your home improvements in the future and we may require the original/specific details of your installation.
Take reasonable endeavours to ensure that any information about you is accurate and kept up to date.

Your Rights as a User

At any point, you can request to: 

  1. Receive confirmation as to whether or not personal information concerning you is being processed and access your stored personal information, together with supplementary information. 
  2. Receive a copy of personal information you directly volunteer to us in a structured, commonly used and machine-readable format. 
  3. Request rectification of your personal information that is in our control.
  4. Request erasure of your personal information. 
  5. Object to the processing of personal information by us. 
  6. Request to restrict processing of your personal information by us.
  7. Lodge a complaint with a supervisory authority.

We use a tool which is based on the Snowplow Analytics technology to collect information about your use of the Site. The tool collects information such as how often users access the Site, which pages they visit when they do so, etc. The tool does not collect any Personal Information and is only used by our Site hosting and operating service provider to improve the Site and services.



Use of script libraries (Google Web Fonts)

In order to present our contents correctly and make them graphically appealing across all browsers, we use script libraries and font libraries such as Google Web Fonts on this website. Google Web Fonts are transferred to your browser's cache to avoid multiple loading. If your browser does not support Google Web Fonts or does not allow access, content will be displayed in a default font. 

  • Calling script libraries or font libraries automatically triggers a connection to the library operator. In theory, it is possible – but currently also unclear whether and, if so, for what purposes – that operators of corresponding libraries collect data.

Third-party collection of information

Our policy only addresses the use and disclosure of information we collect from you. To the extent you disclose your information to other parties or sites throughout the internet, different rules may apply to their use or disclosure of the information you disclose to them. Accordingly, we encourage you to read the terms and conditions and privacy policy of each third party that you choose to disclose information to. 

This Privacy Policy does not apply to the practices of companies that we do not own or control, nor to individuals whom we do not employ or manage, including any of the third parties which we may disclose information to as set out in this Privacy Policy. 

We also reserve the right to obtain information about you from third party sources including a credit reference agency if deemed necessary. Information supplied by a credit reference agency will only be kept for as long as it takes us to decide whether we wish to engage in any form of business arrangement with you. In the case of sole traders we may obtain ‘trade references’.



Minors

We understand the importance of protecting children’s privacy, especially in an online environment. The Site is not designed for or directed at children. Under no circumstances shall we allow the use of our services by minors without prior consent or authorisation by a parent or legal guardian. We do not knowingly collect Personal Information from minors.
